iOS Calendar Issue

Please note that if you have updated to iOS 9, there is a calendar issue with Google Calendar. The issue involves items created on an iOS device. The new events will NOT sync to the Google Calendar. The fix is relatively simple. Follow the directions below.

On your iOS device, go to Settings:

1. Settings > Mail, Contact, Calendars > Scroll down to CALENDARS section
2. Under “Sync” change it to All Events

We are investigating if you can change the setting back to Sync “1 month” or not.

Chromebook signin

Beginning this fall, users who are signing into Chromebooks will have the @dearbornschools.org part of the sign in pre-populated. This will make it quicker to login, easier for our younger students, and less likely for users to sign in to the wrong account.

Please note that this only applies to Chromebooks at this point.

Google+ Names

Previously, we have had some issues with names being changed in Google+. A couple of times, this has happened as a result of multiple Gmail accounts. Beginning today, names in Google+ for all staff members will be set to the official name from Human Resources. This will be retroactive. Thus, all names will be reset to the official Human Resources version.

 

Google Docs Tip

Disable downloading, printing, and copying of any Google Drive file

This new option is available for any file stored in Google Drive, including documents, spreadsheets, and presentations created with Google Docs.

To enable this feature, open the sharing dialogue from any Google document, spreadsheet, presentation, or other file in Drive on the web and click on Advanced in the lower right hand corner. Check the ‘Disable options to download, print, and copy for commenters and viewers’ box and click Save changes.

Notes:

  • This feature can be enabled by file owners only, and on the web only
  • Once this feature is enabled, all entry points for downloading, printing, and copying will be removed from Google Drive, Docs, Sheets, and Slides on all platforms.
  • Google documents, spreadsheets, and presentations for which this feature has been enabled will show a notification at the top of the File and Edit menus

Google Drive Sync

You can sync your Google Drive documents with your computer. This makes all of your Google Drive documents available even if an Internet disruption occurs. Thus, your documents are always available. If an Internet disruption does occur, you can continue viewing and working on your documents. When Internet access is restored, your changes will sync up.

Use this site to download Google Drive.

  • Click the Download Drive button
  • Select your device
  • PC (Windows Computers) and Mac will have an application to download. Download and follow the prompts.

Note that you should only do this on computers that you will be regularly using.

Merge Cells in Tables

You can now merge cells in tables in a Google Document. This has always been a feature in Spreadsheets, but it is now available in Docs as well.

This launch adds the ability to merge the cells of a table in Google Docs. Merged table cells can span more than one row and/or column.

To merge table cells, highlight the cells to be merged in your table and select Merge cells from the Table menu (or right click and select Merge cells).

Merged table cells in Word documents can now be imported as well.

Appointment Slots in Google Calendar

One great feature of Google Calendar is the ability to create Appointment slots. This allows a user to create a block of time and then allow individuals to “sign up” for a appointment during that time frame. For example, if a teacher wants to have students sign up to discuss a project, the teacher can create 10 minutes time slots during an hour long period. Students can then pick a 10 minute “slot”. When the student signs up, it will go on their calendar and the teacher calendar.

This process is very simple and straight forward. We’ve completed a HelpSheet to provide specific instructions.

Here are a couple of other potential uses:

  • Teachers meeting with parents. Post the link on your blog, and parents sign up for a time period.
  • Administrators meeting with teachers. Administrators set up a time frame and email the link to specific teachers.
  • Secretaries meeting with support staff.
  • Media Centers having classes sign up for instruction.

I’m sure that there are more, but the wonderful staff at Dearborn Public Schools will find them.

SPAM

Please remember to check your Spam folder in your email occasionally. Sometimes, legitimate email gets “caught” in the Spam filter. This is especially true when a large amount of email is sent out (especially if it includes links). One example would be email that was recently sent from ACT.

Spam is automatically deleted every 30 days. Thus, it is a good idea to check the Spam folder every couple of weeks (hint: a recurring event every 2 weeks on your calendar can be a good reminder).

To check your Spam folder, just click on the Spam tag (probably about 6 tags below the Inbox on the left hand pane of Gmail. I generally scroll through looking at the Sender name.

  • If you identify anything that is NOT Spam, select the message, then click the Not Spam button along the top.

New Google Drive

Google Drive is about to be updated. The new Google Drive will feature the same benefits as the current version, with some additional improvements. You will still be able to share documents (and YOU control whether your documents are shared or not – by default, documents are private only to you), you will still be able to control the permissions of those documents that are shared, you will still be able to open Google Drive documents on just about any device, you will still have an unlimited amount of storage space, and much, much more.

However, Google Drive will pick up some additional features:

  • Faster
  • Works more like you’re used to on your computer.
  • Create, add, or upload a file with a single button.
  • Find and add files shared with you more easily.
  • Single-click a file to select it and double-click a file to open it.
  • Drag-and-drop files and folders just like you do on your desktop.
  • Improved accessibility.

Google Sharing

One of the powerful features of Google Apps is sharing. The rights that you can give vary from just letting people view something to making them the owner of the item.

A question has come up over Folder Sharing. Here is the scoop:

TL/DNR version: If you don’t want people moving anything in or out of the folder, share as “View only”. 

The rest of the story:

As you know Google Drive offers three types of sharing. “Can edit” ,”Can comment” and “Can View”. Last two are not complicated but the first one can be a real pain sometimes. Let me give you two different cases.

1) Suppose you shared a document created under “My Drive”. The collaborator will find the document under his/her “Shared with me” folder. This is the basic information about this type of sharing. The collaborator can move the file into any of his folders and moreover if he/she had installed Google Drive into the computer then the document will be synced automatically. This is an intermediate information and now I come to the advanced part. What happens if the collaborator deletes the file? Before answering consider that when you share your document with “Can Edit” right the collaborator can “edit” the document by all means. Another question; who is the owner of the document after sharing?

The answer of first question is (fortunately) the document will be erased from collaborators account but not from yours. And the owner of the file is always one person. This fact never changes according to type of sharing. BUT these facts will change in a minute :)

2) Suppose you had created a folder and shared it with someone. Some time later you entered the folder and created a document. As you know Google Drive prompts and asks if you really want to “create and share”. You said yes and moved on. The collaborator can see the folder and the document under “Shared with me”. Now, what will happen if the collaborator erases the document? The answer is not same as the previous one. When one of the collaborators erases a document Google Drive thinks that the document doesn’t belong to the folder so it moves the document out of the folder! Without asking the owner!

 

If you have such a situation don’t panic. Remember that it is not deleted just moved out of the folder but where is the document located? Nowhere, literally. You will not be able to find it under any folder except “All items”. If you click on “All Items” you can find your document there and you can move it to any folder you want. What about the ownership of the document? Well, the answer doesn’t change. You are still the owner.
